1. Scope

This Privacy Policy is issued by Yardi Systems, Inc. (“Yardi,” “we,” “our,” or “us”) and covers the RentCafe Leasing & Community Updates text messaging program: the tour, application, and availability texts delivered to apartment prospects and applicants who opt in on RentCafe-powered websites or on this site.

2. What We Collect

Enrolling in the program provides us with:

• The mobile phone number you submitted
• Which message categories you checked, with the date, time, and form where you consented
• The property or properties your inquiry or application relates to
• Delivery records for each message sent
• Carrier and routing information for your number
• Any STOP, START, or HELP replies you send

3. How the Information Is Used

This information is used only to:

• Send the categories of texts you asked for, on behalf of the properties you contacted
• Keep auditable records of consent, category selections, and opt-outs
• Answer support requests about the program
• Measure deliverability and investigate delivery failures
• Meet obligations under law, carrier rules, and The Campaign Registry

Availability alerts and offers (marketing) go only to numbers whose owners checked that specific box. We never repurpose a service-only opt-in for promotions.

4. Who Receives the Information

Your personal information is never sold. It is disclosed only to:

• The property management company for the property you inquired about, which originates the leasing communications this program delivers
• SMS delivery platforms and telecommunications providers, strictly to transmit program messages
• Mobile network operators and The Campaign Registry, for routing and compliance
• Courts or authorities, where disclosure is legally required

5. Your Choices

• Stop texts: reply STOP to any program message, or ask the leasing office to remove your selections
• Program help: reply HELP to any program message
• Access: ask what personal information we hold about you
• Correction: ask us to fix inaccurate information, or give the leasing office your updated number
• Deletion: ask us to delete your information, subject to the retention rules below

6. Security

We protect program data with technical and organizational safeguards including encryption in transit, role-based access controls, and audit logging, designed to prevent unauthorized access, alteration, disclosure, or destruction.

7. Retention

Consent records and related program data are kept for a minimum of four (4) years after collection or your last program interaction, consistent with Telephone Consumer Protection Act (TCPA) guidance and industry standards. Delivery logs may be retained for operations and compliance.

8. Service Providers

The program is operated with SMS messaging platforms, telecommunications providers, The Campaign Registry (brand and campaign verification), and mobile network operators such as AT&T, T-Mobile, and Verizon. Each is contractually bound to protect your information and use it only as we direct.

10. State Privacy Laws

Residents of states with comprehensive privacy statutes have additional rights:

• California (CCPA/CPRA): the right to know, to delete, to opt out of sale (we do not sell personal information), and to non-discrimination
• Virginia (VCDPA): the rights of access, correction, deletion, and data portability
• Colorado (CPA): the right to opt out of targeted advertising and certain processing
• Other states: comparable rights under Connecticut, Utah, and other state laws

11. Minors

The program is intended for adults searching for housing and is not directed to anyone under 18. We do not knowingly collect minors' information through it and will promptly delete any we discover.

12. Frequency and Charges

Message frequency varies with your leasing activity. Message and data rates may apply under your carrier plan; the program itself is free.

13. Policy Changes

Updates to this policy appear on this page with a revised Effective Date. Staying enrolled after an update constitutes acceptance.
